Buying a business database feels simple until you're staring at ten different listings, all claiming to be "100% verified" and "premium quality." Here's how to actually tell the difference.
Start with your campaign goal, not the database
Before you look at a single listing, define what success looks like. Are you trying to reach decision-makers at mid-sized manufacturing companies in one state? Local retailers in a specific city? The clearer your target, the easier it is to spot a database that actually fits — and to ignore ones that don't.
Five things to check before buying
- Verification recency. A database verified two years ago is a different product than one verified last month. Contact details, especially phone numbers and job titles, go stale fast.
- Filtering options. Can you narrow by industry, location, company size, or designation? Broad, unfiltered lists are almost always a worse deal than they look.
- Format compatibility. Make sure the file format (usually CSV or Excel) works with the CRM or outreach tool you're already using — reformatting a huge list by hand is a waste of a day.
- Sample size vs. total size. A database with 5,000 tightly relevant contacts is worth more than one with 50,000 loosely relevant ones.
- Reasonable claims. Be cautious of listings promising impossible accuracy. Every real-world database has some percentage of outdated entries — sellers who admit that are usually more trustworthy than ones who don't.
Red flags to avoid
If a listing can't tell you roughly when the data was collected, refuses to describe its filtering criteria, or is priced dramatically lower than comparable listings, treat it as a warning sign rather than a bargain.
